Making green building certification easier

Cobler built the GreenRE Certification & Records Management System (CRMS). It replaced spreadsheet tracking with one platform that runs the whole certification process, from first submission to renewal.

GreenRE is Malaysia's homegrown green building certification body. It assesses projects against a national green rating standard, in Malaysia and the wider region. Certification is rigorous by design. Each project goes through several independent assessments involving applicants, expert assessors and GreenRE's own reviewers, with documents, scorecards and approvals at every step.

For years, this work was coordinated in spreadsheets. Project status sat in scattered files, scorecards were tracked by hand, and there was no single record of where any project stood. The approach worked, but it could not grow with a certifier that was taking on more projects.

The CRMS turns that manual, spreadsheet-based process into a digital workflow with four clear stages.

The GreenRE CRMS shows every project and certification stage in one view, in place of scattered spreadsheets.

• PA (Pre-Assessment). The first review, which registers a project and gets its documents in order before the detailed assessment begins.
• AA (Actual Assessment). The full assessment of the design against the GreenRE criteria, where the scorecard is built and reviewed.
• SVA (Site Verification Assessment). An on-site check that what was designed and scored was actually built, before certification is awarded.
• RVA (Renewal Assessment). The periodic reassessment that keeps a certification valid over time.

Each stage has its own submission, review and approval cycle. The system moves a project from one stage to the next: PA to AA to SVA, and RVA when renewal is due. Within the platform:

• applicants and assessors work in one place, each with access suited to their role
• Letters of Offer and Award, and final certificates, are generated and tracked
• invoicing is handled in the same flow
• renewals are flagged before they lapse
• every action is recorded in an audit trail
• automatic notifications tell each party what to do next, so nobody has to chase by email

The result is green building certification that is faster, more consistent and much easier to run. GreenRE can certify more projects, more reliably, as demand for green buildings grows in Malaysia and the surrounding region.
